Kigali Diplomat Hotel located close to National Parliament and opposite the Ministry of Justice and National Public Prosecutors Authority and Supreme Court has three job openings in its establishment and needs competent candidates to fill the jobs in Operations Officer, Guest Relations Officer and Housekeeping Department as detailed below;-

1) Operations Officer

Position Purpose and Summary

Assists the Managing Director in managing the property operations on a day-to-day basis to assure optimum performance.Primarily engages in managing the hourly staff to include scheduling employees; directing and overseeing their daily activities; training and evaluating performance.Resolves guest and employee issues, and performs other duties as required to develop efficiency and profitability in all aspects of property management.

Assumes the Managing Director’s responsibilities when required. Assures 100% guest satisfaction.

Main Tasks and Responsibilities

· Demonstrates and promotes a 100% commitment to providing the best possible experience for our guests and employees.

· Assists Managing Director in monitoring in-house guest balances and direct bill receivables, commission payments by vendors, and issuance of refund checks.

· Assists with monitoring monthly inventory of supplies and equipment. Ensures that day to day purchases made are within budget and with approved vendors.

· Promotes 100% guest satisfaction throughout the property.

· Serves as first level of contact for Guest Service issues. Resolves guest issues or determines necessity to escalate to the Managing Director

· Conducts telemarketing and/or sales calls to assist the Managing Director with sales activities.

· This includes planning, assigning and directing the hourly staff in the performance of daily work activities.

· Trains employees on Company standards and job performance expectations.

· Upholds and Enforces standards and policy compliance at the hotel level.

· Assists with all sales related activities to increase occupancy.

· Supports the Managing Director by seeking out potential business in local market.

· Makes sales calls and participates in telemarketing activities.

· Shares “Manager on Duty” responsibilities with the Managing Director.

· Provides other relief or back-up duties as needed at the hotel including front desk coverage as per Company standards, housekeeping, and other duties when needed to ensure optimum operation of the hotel.

· Performs duties in all departments when needed.

· Actively reviews and monitors Social Media websites to ensure timely and appropriate responses.

Requirements and Skills

· Bachelors’ degree in Hospitality Management or related field from a recognised University.

· 5+ years of experience in Managing hotels.

· Ability to read and speak English and comprehend simpleinstructions, short correspondence, and memos.

· Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.

· Supervisory skills to oversee daily activities of 8 to 15 person hourly staff.

· Ability to organize multiple priorities to ensure that daily operations are performed at peak efficiency

· Remuneration

Gross Salary of 6,000,000Frw per Annum, a four bed roomed house self contained with servant quarters, a fueled car and Company phone.

2) Guest Relations Officer

Brief Job description

We are looking for an outgoing Guest Relations Officer to make clients feel at home and to guarantee their contentment. You will furnish clients with above-and-beyond service to ensure a memorable and genuine experience. The goal is to sponsor a helpful image by honoring guests’ requests and to achieve high levels of guest satisfaction and engagement.

Main Tasks and rresponsibilities

· Ensure and provide flawless, upscale, professional and high class guest service experiences.

· Analyze customer feedback and provide strategic direction to continuously improve overall rating.

· Respond to guests needs and anticipate their unstated ones.

· Expect and react promptly to guests’ requirements and inquires.

· Actively listen and resolve guests’ complaints.

· Oversee and coordinate all arrivals and departures of special guests (VIPs, SAs etc).

· Coordinate and manage communication between guests and staff and follow up to ensure complete service recovery.

· Promote all amenities, conveniences and programs offered.

· Direct, coach and manage guest relations team to ensure all standards and operating procedures are adhered to.

· Appraise team’s performance and produce reports daily.

· Examine activities logbook, assign tasks appropriately and implement control schedule daily

Requirements and Skills

· Bachelors’ degree in hospitality Management or related field from a recognised Institution.

· 3+ years of experience as guest relations officer

· 2+ years of experience in hospitality

· Adequate knowledge of personalized services principles and processes

· Experience with needs assessment techniques, quality standards and satisfaction evaluation techniques

· Familiarity with industry’s latest trends

· Hands on experience with guest relationship management software.

· Proficiency in English, multilingualism will be considered an asset

· Guest service orientation and drive

· Excellent problem resolution skills along with outstanding communication and active listening skills.

· Ability to work flexible hours.

· Highly responsible and reliable with a professional presentation

· Remuneration;- Gross Salary of 3,000,000Frw per Annum, transport allowance and a company phone.

3) Title: House Keeper Officer

Reports To: Operations Officer

Summary of Positions:

Provides superlative service to Kigali Diplomat Hotel Guests and co-workers in performing all housekeeping duties. Note that our accommodations are typical hotel rooms that require attention to detail and following procedures than a typical hotel situation.

Housekeeper - Duties & Responsibilities:

TheHousekeeper shall perform all duties as listed below under “Housekeeper” as well as:

Schedules and supervises other housekeeping staff.

Train, supervise and monitor the quality of work of other housekeepers.

Inventory, order and stock the laundry room with all needed equipment and supplies per guidelines provided.

Maintain professional appearance and supervise use of housekeeping vehicle.

Report daily to the Operations Officer.

Informs the Operations Officer of all activities and any needs prior to the shift’s end.

Shall stay “on property” at any time the manager has the day off and is responsible for operations of the rooms during this time.

Requirements and Skills

· A minimum of 6 months of housekeeping experience.

· Must be able to communicate clearly with managers and other personnel.

· Must be proficient in English.

· Be able to work in a standing position for long periods of time (up to 9 hours).

· Remuneration;- Gross Salary of 2,400,000Frw per Annum
